Administration and Operations Executive

Our Client, an established Irish Organisation have a new requirement for an Administration and Operations Executive to join their team in South Dublin.

The role:

The purpose of this role is to provide administrative support to, and act as the primary contact for employees. The ideal candidate will be extremely organised, with the ability to work under pressure and on their own initiative.

This is a 2 year fixed term contract with competitive benefits on offer.


  • Act as the main point of contact for employees in relation to any meetings, events, and training sessions
  • Schedule and prepare for all meetings; compile an Agenda, collate papers, organise meeting room and refreshments
  • Attend and accurately note take at all meetings based in Dublin or across Ireland
  • Provide efficient, clear and accurate details of events, travel and accommodation to employees
  • Complete secretarial work including diary management, letter writing, post collection, arranging meetings, lunches and dinners, and other general secretarial duties
  • Review expenses and credit card statements as required
  • Keep accurate records for the Union Committee, e.g., contact details, members biographies, meeting dates, etc.

Skills and experience:

  • A minimum of 3 years previous experience in a similar role
  • Excellent minute-taking skills, this is an essential requirement
  • Excellent typing and secretarial skills and proficient use of MS Office Suite
  • Good time management and attention to detail
  • Exceptional communication and multi-tasking skills
  • Full clean drivers licence
  • A degree of flexibility to travel is required with this role
